Requests, approvals, balances, carry-over and expiry all happen automatically. The team can see who is away. You can see what it costs before it costs you.

What breaks when leave lives in a spreadsheet

December surprises

Days that nobody counted properly surface at the year end as arguments, expired days and money.

The manager is the bottleneck

Every request waits on one busy person. When that person is away, everything stops.

HR does bookkeeping instead of HR work

Hours per month go into keeping one spreadsheet honest. That is a job for software.

Who this saves work for

Rankform suits teams of ten people and up, with offices in one country or several. Each of the three groups gets something different out of it.

Owners and management

How many days expire on 31 December, and exactly whose. Who has not taken leave for a year. Where decisions have been sitting in a queue for weeks. The analytics name people and actions instead of drawing charts.

HR and payroll

You set the rules once: the yearly entitlement, the accrual, the carry-over and each country’s public holidays. After that the balances look after themselves, and at the year end there is nothing to reconcile by hand. The report for management exports to Excel as three sheets.

The team

A request takes a minute, from a phone. The balance and anything pending sit on the home screen. The reason for sick leave stays between the person, their manager and whoever approves it.

The request is counted before it is sent

The person picks the dates and the workspace shows immediately how many working days that uses and how many are left. Weekends follow their own schedule, their office’s public holidays are excluded automatically, and a half day counts as 0.5.

  • Days are reserved the moment the request is sent: “+3 pending” appears in the balance immediately
  • An email to the approver about the new request, and to the person about the decision
  • A pending request can be withdrawn; every decision is recorded — who, when and with what note

Every balance is right for the person it belongs to

One person works five days a week, another three. One has 24 days in their contract, another 20, and a third joined in May. The workspace works each person out by their own schedule and their own entitlement, so at the year end there is nothing to reconcile.

  • Accrual: the whole entitlement on 1 January, or a twelfth of it each month; for new joiners, from their start date
  • The year end follows the rule you choose: days expire, they all carry over, or no more than N carries over
  • A special case is set by hand, for one person rather than for everyone

The whole team on one calendar — each office with its own holidays

Who is away this week, who will be away next month, and which public holidays are coming. Clashes are visible before approval rather than after.

  • Public holidays belong to a country: the Amsterdam office gets the Dutch ones, the Warsaw office the Polish ones
  • A company day off is a single record that covers every office
  • Everyone sees their own office and can switch to another; workspace administrators see them all at once

Approver and backup — on the person’s card

Not one shared inbox for the whole company: each person has their own approver, and beside them a stand-in for when the approver is on leave. If someone has no manager, the decision goes to a workspace administrator from the start.

  • Four roles: owner, administrator, manager, employee
  • Invite people one by one, or the whole team from a file
  • One person can be given or refused access to a particular section of the tool

Analytics that warns before it hurts

Not a report for the sake of a report, but four questions a manager answers on a Monday morning. Whose days are about to expire. Who has not taken leave for a year. Whether short spells of sick leave have quietly become a pattern. Where the decision queue has stalled.

  • Who loses days on 31 December, by name, as early as October
  • Frequent short absences, measured by the Bradford Factor, and a year with no leave
  • The decision queue: the request that has waited longest, and the median “you usually decide within N hours”

From sign-up to a working workspace — one day

No implementation project, no consultants, no training. The longest part is not the setup; it is putting together the file with your team in it.

1 You create the workspace

Email, password, company name. No card and no sales call: your trial starts immediately.

≈ 5 minutes
2 You import your team from a file

An .xlsx or .csv file: email, name, position, department, office, manager, start date. Offices and departments are created from the file itself, managers are matched by email — the whole team goes in from one file, ten people or several thousand.

≈ 10 minutes
3 You choose the accrual rule

The whole entitlement on 1 January, or a twelfth of it each month. Before you save, the workspace shows what that rule gives every single person on your team. Any balances people already have come in as a second file.

The same day

Two things a spreadsheet can never do

The reason stays private In the team calendar colleagues see leave and work from home. Sick leave and family matters appear as “Another type of absence”; the type itself is visible to the person, their manager and whoever approves the request. This is not a setting somebody can forget to switch on.
No lock on the way out Balances, history and analytics export to a spreadsheet at any time; billing is monthly, with no annual commitment. If a payment gets stuck in accounting, the workspace keeps working for a week and then goes read-only. Personnel data is never deleted.

What it costs

Leave & Absence
one subscription per company, priced per person
€4.50per person / month

A seat is a person in the team. From 50 people the rate drops for the whole team, not only for those above 50.

Configure workspace
  • 14 days free, no card
  • Workspace and people directory included
  • Billed monthly, cancel whenever you like
People in the teamPer person / monthMinimum invoice

200–499€3.60€720
500–999€3.30€1,650

The minimum invoice of €45 is ten seats: a team of fewer than ten is billed for ten. Other tools on the platform have their own prices, each on its own page.

Frequently asked questions

We have years of leave records in a spreadsheet. How do we move without losing the balances?

Your team comes in from one .xlsx or .csv file - offices and departments are created from it automatically. The balances people already have are imported as a second file, so nothing resets: the workspace starts from the numbers you hold today.

Our offices are in different countries. How do public holidays work?

Public holidays belong to a country: each office gets its own calendar, and a request automatically skips that person’s holidays and their own weekend schedule. A company day off is a single record that covers every office at once.

Who can see that someone is on sick leave?

In the team calendar colleagues see only leave and work from home; sick leave and family matters appear as ‘Another type of absence’. The real type is visible to the person, their manager and whoever approves the request. This is a platform rule, not a setting - there is nothing to forget to switch on.

What happens to unused days at the end of the year?

Whatever rule you choose: days expire, all of them carry over, or no more than N carry over. And the tool names, person by person, whose days will expire on 31 December - as early as October, not on the 30th.

Is there a limit on team size?

No. The same tool serves a team of ten and a company of tens of thousands - the whole team comes in from one file. The per-person rate drops from 50 people and again at 100, 200, 500 and 1,000 - down to €3.00 per person.

Do we need a card to try it?

No. The trial is 14 days of full functionality, no card. After that billing is monthly; if a payment is late, the workspace keeps working in full for another week and then goes read-only - personnel data is never deleted.

What if we decide to leave?

Any time: balances, history and analytics export to a spreadsheet in one click, and there is no annual commitment. We deliberately build no locks on the way out - a product should be worth staying for.
